Map the journey to ready
List what must happen between a signed agreement and the work beginning: information requests, documents, account setup, introductions and internal checks.
Use clear triggers
Start the right checklist when a client is confirmed. Assign an owner, send the relevant request and stop reminders as soon as the item arrives.
Keep approvals with people
Contract changes, unusual requirements and commercial decisions need a named reviewer. Automation should prepare the context and surface the decision.
Avoid collecting unnecessary data
Ask only for the information required to deliver the service. Decide where it is stored, who can access it and when it should be removed.
Track readiness, not activity
Measure time to readiness, missing items, manual reminders and client questions. More automated messages are not the goal; a clearer start is.
